Cancellation & Returns Policy
This policy applies to purchases made through Vareum, including orders placed online, by quotation, purchase order, invoice, pro-forma invoice, email, or any other written commercial approval issued by Vareum.
B2B Focus
Vareum primarily supplies research institutions, laboratories, universities, biotech and pharma companies.
Special Orders
Products ordered specifically from manufacturers or suppliers may not be cancellable after confirmation.
Controlled Logistics
Cold-chain, dry ice, hazardous, refrigerated, frozen and regulated shipments may be non-returnable.
RMA Required
No product may be returned without prior written approval and a return authorization from Vareum.
1. B2B and Institutional Purchases
Vareum is a B2B supplier and sourcing platform for life-science research products, serving research institutions, universities, laboratories, hospitals, biotech companies, pharmaceutical companies, distributors, governmental bodies, and other professional organizations.
Where an order is placed by or on behalf of a company, research institute, university, hospital, laboratory, governmental body, distributor, reseller, biotech company, pharmaceutical company, or other professional entity, the transaction shall generally be treated as a business-to-business transaction.
B2B transactions are subject to the applicable quotation, purchase order, pro-forma invoice, order confirmation, manufacturer terms, supplier terms, shipping and logistics terms, regulatory requirements, and any written approval issued by Vareum.
2. Order Cancellation Before Processing
A customer may request cancellation of an order before it has been processed. Vareum will make reasonable efforts to cancel the order if the order has not yet been submitted to the manufacturer or supplier, reserved, packed, shipped, imported, or otherwise processed.
If cancellation is possible without cost, Vareum will cancel the order and issue a refund where applicable. If costs have already been incurred, Vareum may deduct non-refundable costs, including supplier charges, manufacturer cancellation fees, handling fees, packaging costs, customs costs, import/export costs, freight costs, dry ice charges, cold-chain charges, bank fees, payment processing fees, and other direct costs related to the order.
3. Special Order, Custom Order and Non-Stock Products
Many products supplied by Vareum are sourced specifically for the customer and may not be held in regular stock. The following orders are generally considered special orders and may not be cancellable after confirmation:
- Products ordered specifically from a manufacturer or supplier.
- Custom-manufactured or made-to-order products.
- Products imported specifically for the customer.
- Non-stock products and bulk orders.
- Products with short shelf life or expiration limitations.
- Temperature-controlled, refrigerated, frozen, or dry-ice products.
- Biological materials, cell culture products, antibodies, proteins, peptides, assays, kits, enzymes, reagents, chemicals, buffers, media and sera.
- Products subject to hazardous, regulated, controlled, or special handling requirements.
Once such an order has been confirmed, Vareum may not be able to cancel, return, or refund the product unless the manufacturer or supplier agrees in writing.
4. Returns
Products may not be returned without prior written approval from Vareum. Before returning any product, the customer must contact Vareum and receive a written return authorization / RMA number.
Returned products must be:
- Unused, unopened and undamaged.
- Returned in their original packaging.
- Stored and handled according to the manufacturer’s instructions.
- Returned within the approved return period.
- Accompanied by all relevant documents, labels and certificates.
Vareum may refuse any return if the product has been opened, used, damaged, improperly stored, exposed to unsuitable temperature conditions, removed from controlled storage, contaminated, altered, relabeled, or otherwise cannot be resold or safely handled.
5. Non-Returnable Products
Due to the nature of life-science, laboratory, biological, chemical, and research products, certain products are non-returnable.
- Refrigerated, frozen, temperature-sensitive or dry-ice shipments.
- Sterile products and biological materials.
- Cell culture products, enzymes, antibodies, proteins, peptides, media, sera, kits, reagents, chemicals, buffers and assays.
- Products with limited shelf life or expiration date limitations.
- Opened, partially used, damaged, contaminated or relabeled products.
- Hazardous, regulated or controlled materials.
- Customized, special-order or customer-specific imported products.
- Products that cannot be resold for quality, safety, regulatory or manufacturer-policy reasons.
6. Defective, Damaged or Incorrect Products
If the customer receives a product that appears to be defective, damaged, incorrect, incomplete, or inconsistent with the confirmed order, the customer must notify Vareum in writing as soon as possible.
The notice should include:
- Order number.
- Product name and SKU / catalog number.
- Lot number, if available.
- Photos of the product and packaging.
- Description of the issue.
- Delivery date and storage conditions after receipt.
- Any supporting documentation.
Vareum will review the claim with the customer, manufacturer, supplier and/or carrier. Where the claim is verified, Vareum may provide replacement, repair where applicable, credit note, partial refund, full refund, or another commercially reasonable solution, subject to applicable law and supplier/manufacturer approval.
7. Shipping, Customs and Cold-Chain Costs
Shipping, handling, customs, duties, taxes, import/export costs, brokerage fees, special packaging, dry ice, cold-chain charges, freight charges, hazardous material handling fees, and other logistics-related costs are generally non-refundable once incurred.
If a shipment is refused, delayed, abandoned, or returned due to customer error, missing documentation, regulatory restrictions, customs issues, failure to accept delivery, or incorrect shipping information, the customer may be responsible for all related costs.
8. Research Use Only
Products supplied by Vareum are generally intended for Research Use Only (RUO), unless expressly stated otherwise in writing.
Products are not intended for human or veterinary diagnostic, therapeutic, clinical, food, cosmetic, household, or personal use unless explicitly approved and documented by the relevant manufacturer and applicable regulatory authority.
The customer is responsible for ensuring that all products are used, stored, handled, transported and disposed of in accordance with applicable laws, institutional guidelines, safety regulations and manufacturer instructions.
9. Consumer Transactions
If a transaction is legally classified as a consumer transaction under the Israeli Consumer Protection Law, 5741–1981, the customer may have statutory cancellation rights in accordance with applicable law.
Where applicable, a consumer may cancel a remote sales transaction within the period prescribed by law, subject to the conditions and exceptions set by law.
In the event of cancellation due to regret, Vareum may charge cancellation fees as permitted by law. In the event of cancellation due to defect, non-conformity, failure to deliver on time, or another breach attributable to Vareum, no cancellation fee will be charged, subject to applicable law.
Certain products may be excluded from cancellation rights under applicable law, including products manufactured or ordered according to special customer requirements, perishable products, products that cannot be returned by law, and other products excluded by statute or regulation.
10. Refunds
Approved refunds will be processed using the original payment method where possible, unless otherwise agreed in writing.
Refunds may be subject to deduction of any applicable non-refundable costs, including cancellation fees, supplier charges, shipping fees, customs costs, cold-chain costs, bank fees, payment processing fees, and other direct expenses, except where such deduction is prohibited by applicable law.
11. Manufacturer and Supplier Terms
Vareum works with multiple international manufacturers, suppliers and logistics partners. Certain products may be subject to specific manufacturer or supplier cancellation, return, warranty, storage, or handling terms.
Where manufacturer or supplier approval is required, cancellation, return, replacement, credit, or refund may be subject to such approval.
12. Policy Updates
Vareum may update this Cancellation & Returns Policy from time to time. The version published on the website at the time of purchase shall apply, unless otherwise required by applicable law or agreed in writing.
Nothing in this Policy shall derogate from any mandatory right granted under applicable law.
How to Submit a Cancellation or Return Request
Cancellation or return requests must be submitted in writing to Vareum. Please include your company name, order number, product name, catalog number, reason for cancellation or return, and any relevant supporting documents.
